About the Role
We are looking for an experienced and confident administrator to support two Service Managers and their teams on a permanent, full-time basis. This is a role that will provide the opportunity to demonstrate your outstanding coordination skills, allow you to work autonomously and also be able to use your initiative. This is a demanding role encompassing a large range of administration tasks and interfacing with a large multidisciplinary team.
Day to day responsibilities include managing diaries and service calendars, timesheets, booking meetings and travel, taking minutes, booking meeting rooms, organising agendas, raising purchase orders, keeping records and basic reporting, supporting managers, medical,nursing and allied health teams, plus general administration. No matter the task, it is imperative that deadlines are not only met, but strived to be beaten.

About you
This role demands a switched on, highly motivated and organised person with a strong ability to prioritise competing demands in an efficient manner, whilst continually learning in an ever-changing environment.
Our ideal candidate will have a strong background in administration. It is essential that you are a team player with excellent communication skills who understands the need for attention to detail. You must be comfortable interacting with a variety of people at all levels and attending to issues that arise – often at the same time!
You will need excellent time management skills and be comfortable prioritising deadlines to succeed in this role. You will be self-motivated with an ability to initiate and anticipate change, along with flexibility in your thinking.
Ideally you will also bring the following skills and experience:
- Previous experience in a busy administrator role
- Time management skills – having a knack for multi-tasking
- Ability to communicate clearly, both in written and verbal form
- Ability to follow instructions with minimal supervision
- Competent and confident using the Microsoft Office suite, particularly Word, Excel Outlook and Adobe
- A strong eye for detail
- Respectful and professional nature handling confidential information
- Have a natural flair for building and fostering positive relationships
- Competency with te ao Māori, tikanga, and te reo Māori or a commitment to starting your journey and taking ownership of your learning and growth
- Experience in projects / initiatives which give effect to Te Tiriti principals and frameworks, and the application of Mātauranga Māori and Kaupapa Māori approaches, particularly as they apply in healthcare settings

Salary Range
This role is covered by the terms and conditions of the PSA South Island Clerical Multi-Employer Collective Agreement and the salary will be in accordance with the National Health Administration Workers Pay Scale, Band 4A between $70,970 and $73,941 p.a. dependant on relevant experience.
